This Privacy Policy describes how Convene ("Convene," "we," "us," or "our") collects, uses, stores, and shares information when you use the Convene platform, our website at hirewithconvene.com, the Convene Capture browser extension, and any related services (collectively, the "Services").
By using the Services, you agree to the practices described in this Privacy Policy.
1. Information We Collect
We collect the following categories of information:
a. Account Information
When you create an account, we collect:
- name
- email address
- company or organization
- role (recruiter, hiring manager, etc.)
- password (stored in hashed form)
- profile information you choose to provide
b. Candidate Information
When recruiters submit candidates through the platform or the Convene Capture browser extension, we collect candidate-related information such as:
- full name
- current title and employer
- public profile URL (e.g., LinkedIn)
- work history and qualifications
- contact information when provided
- notes or evaluations submitted by recruiters
c. Information Collected by the Convene Capture Browser Extension
The Convene Capture browser extension is designed to help recruiters submit candidate information to active roles in Convene. The extension only collects and processes information when a user actively chooses to capture a candidate from a supported page (such as a LinkedIn profile).
The extension may access and process:
- the contents of the active LinkedIn page the user is viewing, solely to extract candidate profile fields (name, title, employer, profile URL, work history)
- locally stored authentication tokens and session preferences (using Chrome `storage`)
- the URL of the active tab (using `activeTab` and `tabs`) only to confirm the user is on a supported page
The extension does not:
- collect browsing history
- read pages outside of the supported host permissions (LinkedIn and hirewithconvene.com)
- track user activity across the web
- sell or transfer user data to third parties
- use captured data for advertising, credit assessment, or any purpose unrelated to recruiting
Captured candidate information is only transmitted to Convene's servers when the recruiter explicitly submits it through the extension.
d. Usage and Device Information
When you use the Services, we may automatically collect:
- IP address
- browser type and version
- device and operating system information
- pages and features accessed
- timestamps and session activity
- referring URLs
e. Communications
If you contact us by email or through the Services, we may retain the contents of those communications.
2. How We Use Information
We use the information we collect to:
- operate, maintain, and improve the Services
- create and manage user accounts
- facilitate candidate submissions, introductions, and recruiting workflows
- communicate with users about the Services, updates, and support
- enforce our Terms of Use and platform policies
- detect and prevent fraud, abuse, and unauthorized access
- comply with legal obligations
We do not sell personal information, and we do not use information collected by the Convene Capture extension for advertising or any purpose unrelated to providing the Services.
3. How We Share Information
We share information only as described below:
- Between platform users. Candidate submissions are shared with the employers and hiring managers associated with the relevant role. Recruiter profile information may be visible to employers reviewing submissions.
- Service providers. We share information with vendors who help us operate the Services (e.g., hosting, database, email delivery, authentication, analytics). These providers are contractually obligated to protect the information.
- Legal and safety reasons. We may disclose information if required by law, court order, or to protect the rights, property, or safety of Convene, our users, or others.
- Business transfers. If Convene is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
We do not sell personal information to third parties.
4. Data Storage and Security
Information is stored on secure cloud infrastructure operated by reputable providers. We use technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction.
No method of transmission or storage is 100% secure. While we work to protect your information, we cannot guarantee absolute security.
5. Data Retention
We retain information for as long as necessary to:
- provide the Services
- maintain accurate recruiting records
- comply with legal, tax, or regulatory obligations
- resolve disputes and enforce agreements
You may request deletion of your account information by contacting us at the address below. Some information may be retained in backups or as required by law.

The Convene Capture extension reads content from LinkedIn pages only when the user activates the extension on a profile. Convene is not affiliated with LinkedIn, and your use of LinkedIn remains subject to LinkedIn's own terms and privacy policy.

The Services are not intended for individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can take appropriate action.
10. International Users
The Services are operated from the United States. If you access the Services from outside the United States, your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate. By using the Services, you consent to such transfers.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date above and, where appropriate, notify users through the Services or by email.
Continued use of the Services after changes take effect constitutes acceptance of the updated Policy.
